Teach Tearmainn is a domestic violence support service providing a
range of support services to women and children who are experiencing
domestic violence and abuse. Teach Tearmainn is seeking an
enthusiastic Database Administrator to support the rollout and
implementation of a new database.
BACKGROUND:
Safe Ireland has been working with Enclude and Quality Matters over a
number of years to identify, develop and implement an integrated
information solution for Domestic Violence (DV) services in Ireland
which can deliver an innovative solution to the current gaps in
information management and business intelligence. As a member of Safe
Ireland, Teach Tearmainn has been selected as the pilot site to test
the E-Safe database. It is expected that Teach Tearmainn will be able
to provide assurances from a user perspective, to the sector in
relation to the functionality and the security of the database for use
in the Domestic Violence Sector.
THE ROLE: SYSTEM ADMINISTRATOR
You will be part of a small team and you will be responsible for data
processing, testing and analyzing the new database. You will also
compare the data against the current system to ensure accuracy of
reporting. You will be responsible for providing support to staff in
relation to the functionality of the database. You will also be
responsible for drafting reports to Teach Tearmainn, Enclude,
Salesforce and Safe Ireland throughout the pilot in relation to the
system.
The ideal candidate will possess database experience or strong Excel
and database skills.
The System Administrator will play a key role in the rollout of the
new CRM to Teach Tearmainn, and in ensuring that it is being used
effectively within the organisation after roll-out. The System
Administrator will ensure that there is a focus throughout the
organisation on high quality data being entered in the system.
The System Administrator will need to understand all aspects of system
usage within the service.
THE PRINCIPLE RESPONSIBILITIES INCLUDE:
* User management: Setup of new users, deactivation of users who have
left, management of user access levels
* Troubleshooting users? issues, acting as main contact with
Enclude where further support is needed
* Monitoring data quality, taking actions to address poor data
quality as required (eg. merging of duplicate records, identifying
root cause of poor data quality).
* Migration of data from old system to new system.
* Ensuring data backups are done regularly to protect against data
loss through user error.
* Maintaining documentation on the system, updating as required.
* Creating new reports/dashboards as required, and providing support
to other staff members in relation to reports as needed.
* Ad-hoc user training
* Identifying areas for improvement of the system and feeding back
to Enclude
* Carrying out small configuration changes, such as drop-down list
updates.
* Preparing for new Salesforce releases (software upgrades)
* Data cleansing and reformatting to match the upload requirements
* Monthly data reconciliations between sources
* Completing internal control checks and the related documentation
* Preparation of minutes from internal meetings
* Preparing reports with feedback to Teach Tearmainn, Enclude,
Salesforce and Safe Ireland.
* Other ad hoc duties
SUPPORT WILL BE PROVIDED TO THE SYSTEM ADMINISTRATOR VIA
* Dedicated training during the pilot phase
* Support requests raised on the Enclude Website which are assigned
to the Enclude Support team and are tracked through to closure.
* Regular administrator training webinars
* Emails from the Support team to advise of actions needed in
preparation for upcoming Salesforce changes.
REQUIREMENTS FOR THE ROLE:
Competencies:
* Experience in a similar role involving data administration
* Good working knowledge of Salesforce, Word and Excel
* Good numeric & analytical skills with strong attention to detail
* Strong problem solving capabilities
* Good communication skills
* The ability to work as a member of a team as well as independently
* Excellent organisation skills with the ability to keep track of
progress
* The ability to organise own work in order to manage multiple
priorities
* Desire to learn new skills with a continuous improvement attitude
EDUCATION:
* Pursuing degree or qualifications in
IT/finance/economics/accounting/business
